Territory Intelligence: Turning Voice Logs Into Route Suggestions

Months of voice-logged visit data are enough to suggest a smarter weekly route than most reps plan on habit alone.

Once a rep has logged a few months of visits through FieldVoice, we end up holding something most CRMs never capture cleanly: an accurate, timestamped record of who was visited, when, how long the conversation ran, and what came out of it. That data, it turns out, is enough to suggest a better route than most reps plan by habit.

The pattern hiding in visit logs

Reps tend to visit doctors in the order they learned the territory, not the order that maximizes useful time. A doctor who is reliably free between 11 and 1 gets visited at 4pm because that is when the rep's habitual loop passes by, and the rep waits, or the doctor is with a patient, or the visit gets cut short. Voice logs capture visit duration and context automatically, so patterns like this surface without anyone reviewing call reports by hand.

What route suggestions actually look like

  • •Doctors with consistently short or interrupted visits get flagged for a different time slot, based on when past visits ran longest
  • •Clusters of doctors within walking or short-drive distance, currently visited on separate days, get suggested as a combined loop
  • •Doctors with no visit logged in three or more weeks surface at the top of the week's suggested list before they fall off entirely
  • •Newly added doctors in a territory get slotted into the existing route rather than tacked onto the end of the week

Why we did not build this first

Route suggestions only work once there is real visit history to learn from, which is why this came after the core voice logging, not before it. A route engine built on guessed doctor preferences would have been noise. One built on months of actual duration and outcome data is closer to something a good regional sales manager would tell a rep directly, except it runs for every rep on the team, every week, without anyone reviewing call sheets manually first.

We are still conservative about how much we automate here. The suggestions are a starting point for the rep's week, not a locked schedule, because the rep still knows things about a doctor's mood or a clinic's renovation that no log will ever capture.
